Managing Educational Approvals in CE Tracking

As an administrator within the CE App, you have the ability to manage Educational Approvals, allowing you to review and approve Continuing Education (CE) submissions made by users.

However, please note that the approval feature is enabled for some organizations but not all. This process ensures that all submitted CEs are accurate, meet the organization’s standards, and are properly counted toward users’ CE requirements. By overseeing this process, you help maintain compliance and keep records up to date.

1. Sign Into Your Admin Account

Sign into your organization admin account at your CE app to access the approval management features.

Go to the User Admin Dashboard
In your admin dashboard, navigate to the User Admin section, where you will see a list of users.

Sign In as a User
Find the user you want to review and click the option to Sign in as this User .

Access the CE from the User’s Account
Once signed in, you can access CE records by:

  • Clicking ‘Track CE’ in the menu.
  • Selecting the CE from the existing table of submissions.

This will allow you to review and manage CE records effectively.


2. Navigate to CE Approval

Then navigate to the Continuing Education (CE) section of your admin dashboard. Here, you can view all submitted CEs, including those awaiting approval.

  • CEs added by users will be in Waiting Approval status by default.
  • CEs added by admins will be Approved by default.

By default, there is a setting that locks approved CEs to prevent user edits. If an approved CE is unlocked and the user makes changes, it will automatically revert to “Awaiting Approval” for re-review. CEs that are reviewed but not approved will not count toward the user’s requirements.


3. Reviewing a CE

To review a CE, click on the specific entry you wish to review. You will be able to:

  • Review details about the CE submission.
  • View any attached files or certificates or any notes.
  • Check for notes.
  • Verify if the submission meets your organization’s requirements.


4. Approving or Rejecting a CE

After reviewing, you have the option to Approve or Reject the CE. Approved CEs will be counted towards the user’s CE requirements, while rejected CEs will not.

  • If a user edits an approved CE, it will return to Waiting Approval status for re-review.
  • Only Approved credits count toward fulfilling CE requirements.

5. Managing CE Approval Settings

As an admin, you can control approval permissions:

  • Turn on the Approve Added CEs setting for specific admins to allow them to approve CEs submitted by users.
  • Set notifications for relevant admins to receive updates when new CEs require approval.

You can customize the workflow to review approvals weekly, monthly, or daily based on how frequently users submit CEs.


6. Reporting & Viewing Approved CEs

Admins can also view a summary of all approved CEs through compliance reports or organization-wide reports, which can be filtered by:

  • Cycle: Select a specific cycle or time range.

Approved CEs within the selected time range will be counted toward the user’s requirements.


Tips for Efficient Approval Workflow

  • Schedule regular reviews based on your organization’s submission volume (e.g., weekly, monthly).
  • Use email alerts to stay on top of pending approvals.
  • Ensure all CE submissions meet organizational standards before approving.
